Pre-Move Preparation

1. Communicate the Move Early

  • Inform all employees of key dates, new address, and responsibilities.
  • Assign department move coordinators to oversee packing and questions.

2. Declutter Before You Pack

  • Dispose of outdated files, broken equipment, and unnecessary items.
  • Separate items to be moved, stored, or decommissioned.

3. Gather Packing Materials

  • Use By Design’s labeled moving bins or sturdy boxes.
  • Obtain proper labels, markers, bubble wrap, and cable ties.

4. Label Everything

  • Clearly mark each item with:
    • Department or employee name
    • Destination room or workstation number
    • Box number (e.g., 1 of 3)
    • “Fragile” or “Tech Equipment” if applicable
  • Use the color-coded labels provided by By Design.

Packing Instructions

5. Pack Early and in Stages

  • Begin with non-essential items at least one week before the move.
  • Keep essential daily-use items accessible until the final day.

6. Secure Fragile Items

  • Wrap monitors, glass items, and electronics in protective material.
  • Use By Design’s padded bins for high-value or sensitive equipment.

7. Manage Cables and Tech

  • Unplug and coil cables neatly; label both ends (e.g., “Monitor 1 – Docking Station”).
  • Place all cords and accessories in a single labeled bag per workstation.

8. Empty Furniture and Cabinets

  • Clear all drawers and cabinets; lock keys in a labeled envelope.
  • Remove personal items and decorations.

Moving Day

9. Follow Crew Directions

  • Our trained moving team and project manager will guide all loading and unloading operations.
  • Only authorized personnel should enter active move zones.

10. Verify Workstation Labels

  • Ensure every workstation and office is clearly marked at the destination.
  • Supervisors should confirm correct placement using the provided floor plan.

11. Keep Essential Items Handy

  • Have quick access to items like employee directories, chargers, and IT contacts.
  • Avoid packing critical files needed immediately after the move.

Post-Move Checklist

12. Test All Systems

  • Confirm computers, phones, printers, and network connections are functioning.
  • Report issues to your IT or project manager immediately.

13. Confirm Inventory

  • Verify all assets and boxes arrived safely.
  • Report any damages or missing items to By Design within 24 hours.

14. Return Empty Bins & Materials

  • Reuse or return all By Design bins, dollies, and protective materials.
  • Schedule pickup with your project manager.

15. Celebrate the Move!

  • Host a welcome coffee or open house in your new space.
