Clear Labelling for Efficient Office Moves

At By Design Commercial Moving Solutions, we know that successful office relocations are built on precision and planning – and one of the most critical (yet often overlooked) steps is proper labelling. A clear, consistent labelling system keeps your move organized, minimizes confusion, and ensures every workstation, file, and piece of equipment arrives exactly where it belongs.

Why Labelling Matters

  • Reduces downtime: Properly labelled items are delivered to the correct locations the first time – saving hours on move day.
  • Protects assets: Fragile, high-value, or confidential items are identified and handled appropriately.
  • Streamlines reinstallation: Furniture and technology teams can quickly match assets to their assigned zones, departments, or floor plans.
  • Improves accountability: Every item is tracked from departure to final placement.

By Design’s Labelling Best Practices

  1. Use a consistent system

Each workstation, department, or room should have a unique code – for example:

    3A-24 = 3rd Floor, Area A, Workstation 24.

This code appears on both the furniture components and the corresponding floor plan.

  2. Colour-code for clarity

We use colour-coded labels by department or zone to make identification simple and visual.

    • Blue = Accounting
    • Green = HR
    • Yellow = Marketing
    • Red = IT
  3. Label all sides clearly

Labels should be visible from multiple angles – especially for stacked boxes and wrapped furniture.

  4. Include key information

    Every label should display:

    • Destination room or workstation code
    • Employee name or department
    • Box number (e.g., 1 of 4)
    • “Fragile” or “Tech Equipment” if applicable
  5. Label before move day

Preparation prevents confusion. Our project managers guide your team through pre-move labelling so everything is ready for transport.

  6. Protect confidential items

Sensitive files or electronics receive discreet identifiers, ensuring secure handling without exposing contents.
